Program Coordinator Job Description

Full-Time Position at 40 hours per week.

Emerging Prairie is looking for a person to fill a new role within the organization. The Program Coordinator will help our team take care of the people we serve in the community. Our ideal teammate is someone who is great at anticipating needs, loves connecting with people, and has a customer service mindset.

This new role will be responsible for providing above and beyond service for our entrepreneurs, founders, and Prairie Den members. Serving in an extremely people-focused role, the ideal candidate will be an experienced, outgoing, self-driven professional with the ability to manage multiple programs simultaneously. The Program Coordinator will work with the entire Emerging Prairie team and advocate for excellence in customer service across our programs, projects, and events.The Program Coordinator role will need to meet deadlines with little supervision, and be willing to work evenings and weekends on occasion.

Key Areas of Responsibility:

Prairie Den (Facilities):

  • Provide high-quality customer service for our current Prairie Den members.
    • Coordinate, manage, and execute current member needs including but not limited to membership changes and member engagement.  
  • Serve as the caretaker and administrator of the Prairie Den.
    • Greet arrivals, provide tours, field Prairie Den calls, ensure cleanliness and organization of the facilities, coordinate vendors or service providers.
    • Manage event space bookings & set up meeting spaces for reservations.
  • Recruit, engage and secure new Prairie Den memberships and volunteers.
  • Manage and coordinate Prairie Den volunteers.

Program Coordination & Facilitation:

  • Organize, manage, and execute logistical needs for programs.
    • Intern Experience Program – lead the coordination of the Intern Experience program.
      • Identify and recruit additional facilitators and guest speakers as needed.
      • Facilitate one or more of the cohorts.
      • Work with the communications team to recruit interns.
    • Monthly Gatherings
      • Organize and lead monthly meetups in collaboration with the events team.
      • Serve as host when community host is unavailable.
      • Coordinate speakers, topics, and goals.
    • Founder’s Programming (The League, Emerging Founders, Rainmakers)
      • Assist facilitators in communications with the cohort.
      • Coordinate TBD/Founder’s social events.
    • Retreats (Founder’s Retreat, Women’s Retreat, Social Tilt)
      • Plan, coordinate and execute logistics for retreats.
  • Organize materials, resources, and tools for facilitation and/or facilitators.
  • Develop and maintain program budgets with EP Operations Manager.

Program Development, Recruitment, & Evaluation:

  • Connect and network with community leaders, builders, entrepreneurs, and founders.
  • Work with Emerging Prairie leadership team to identify program needs, strategy, and vision.
  • Identify recruitment goals for membership and attendee goals.
  • Work with communications team to create and execute a recruitment plan.
  • Develop an evaluation plan for each program and track metrics to measure success.
    • Intern Experience Program
      • Work with the leadership team to evaluate and develop curriculum.
    • Monthly Gatherings
      • Develop and execute membership model with the leadership team.
    • Founder’s Programming & Retreats
      • Discover ways for continuous improvement and customer satisfaction.

Minimum Qualifications:

  • Bachelor’s degree preferred; significant work experience can substitute for the degree.
  • 1-3 years experience in customer service.
  • Proven communication skills, including writing, and proofreading skills.
  • Excellent interpersonal skills both in person, by phone, and email, with high professionalism.
  • Comfortable operating with minimal supervision to meet organizational needs.
  • Ability to keep up with the rapid pace of the position and be adaptable to spontaneous adjustment/revisions.
  • High organizational skills and a tendency for detail-orientation are essential.

Preferred Qualifications:

  • Facilities management experience.
  • Program or Project management training or certification (i.e. PMP or PgMP certification)
  • Application experience: WordPress or another web CMS; MailChimp; MS Office Suite; Google Suite.
  • Interest in community development, technology, and the entrepreneurial ecosystem

Physical demands:

  • Ability to continuously stand or walk
  • Ability to bend, squat, climb stairs and lift frequently
  • Ability to lift up to 50 pounds.

Work environment:

  • May occasionally work in temperatures above 100 degrees and below 32 degrees.
  • May occasionally walk on slippery or uneven surfaces.
  • Will climb ladders and work off elevated surfaces on an occasional basis during each shift.
  • The noise level in the work environment is frequently loud.
  • May occasionally work early mornings, evenings, and weekends.
